This saves teacher’s time because they create lessons using the same program that creates graded assignments from the grade book, and it keeps them from logging into multiple systems. Intuitive options to display and organize graded assignments or lesson plan groups, with single click submissions and approvals with comments instantly between teachers and administrators.
Communications
Utilizing the most current technological tools for web design and communications is at the heart of all the EDgear software.
MEG (Management Exception Groups)
MEG plays a key role inside EDgear’s exclusive data warehousing and communications system. It is the core communications system for automated internal district communications. MEG is fully automated and customizable to audit and communicate to assigned administrators when parameters have been violated. It has a full slate of automated messages based on pre-defined triggers that will call attention to critical areas such as state reporting, enrollments audits including special education, attendance reports, discipline notifications, and much more. MEG also reports longitudinally for year-to-year comparison reports. MEG has placed administrators in a more prominent and proactive position, instead of a reactionary environment.
Web Calls and Email
EDgear’s developed a fully integrated web call and email solution inside EDgear’s exclusive data warehousing and communications system. Since EDgear has developed it’s own integrated solution, it is not necessary to manually import or export files, or have limited data layouts to another third party product. Automated calling is created from all critical application areas and executed in real time. Web calling system includes text-to-voice (TTV) or pre-recorded messages for student or staff events and emergencies. Statistical reporting is built in.
Parent / Student Web Portal
EDgear’s web portal is fed as-it-happens from all critical applications including demographics, attendance, discipline, assignments, lesson plans, conduct codes, grades, test results, transcripts, schedules, fees, and school calendars. In addition, web portal receives automated warning pop-up messaging when immediate attention is needed. Districts may opt to allow parents in the request selection process, or review and authorize 4 year scheduling plan. Parents and administrators may use web portal with any mobile device. Since the web portal is developed by EDgear and is an integral part of EDgear’s exclusive data warehousing and communications system, more data is shared and in real time.
DEWS ® (Dropout Early Warning System)
DEWS ® is the first completely automated Drop Out Early Warning System in the nation. Built on our exclusive data warehousing and communications systems, any number of parameters may be set to help identify students who may enter the drop out zone. Unique Software Solutions
EDgear thanks our educator advisory groups who have contributed in creating a robust and dynamic set of world class applications that incorporates seamlessly DOE data requirements with the latest web 2.0 tools. This has contributed to reduced data errors and an increase in staff productivity. EDgear has invested in unique application and automated arenas such as DOE SIS/SER seamless integration, SBLC data hub, Drop Out Early Warning System (DEWS ®), Management Exception Groups (MEG), and automated notification systems that have received national attention. Any enhancements or program requests to current modules are distributed to all EDgear districts at no additional costs.
MEG - Management Exception Group Reporting
MEG is a group of management 'watch' modules that are objective specific and execute using time/date triggers. These watch modules allow management to spot out-of-bounds conditions without massive reporting and time consuming analysis. These modules can email, text or call responsible management tiers by accessing their function codes contained in the human resources system and obtaining contact data therein. These audits continue until the problem is resolved.
These modules are also used at the daily operations level to monitor data accuracy, student activity, parent connectivity, weekly work registers, possible failure, daily absentee registers, conduct notifications, skip notifications, etc. These modules run automatically without operator intervention. These modules call, email or text using student and parent contact information contained in the student master file residing in the real-time data warehouse.
Student Progress Center
The parents web contains all student work components such as homework, all assignments, progress reports, up to a 5 year scheduling plan, discipline history, conduct attendance history, transcripts, fees, alerts from absence posting, etc. All postings and changes will be reflected and accessible by the web in real time. In many cases the parent will know of test, attendance or discipline results before the student does.
The parent web is a very popular product where many parents are in the military, deployed away from home, or work offshore. Parents can access the data which is current in 'real time'. Many parents leave a JPAMS session live on their workstation where JPAMS places 'as it happens' data resulting in a parental view the same as an actual classroom observance for their student. We had a parent call a teacher 5 minutes after a failing grade was posted. Parents that have no computer at home (single mothers) or students finding out their current grades before they go home, results in parents having daily statistics before the student gets home.
JCall - Real-time Communications
JCALL is fully integrated into the JPAMS student management system. This provides several advantages when compared to third party systems that need to import or export data to function. This increase staff productivity by logging into the same system used daily and having one centralized location for support. JCALL is listed as a key component to increase parental involvement. JCALL is used for staff calls as well.
The parent connectivity contains both call and email components. When a call is necessary, a mandatory email is sent. Calls and emails will be delivered to Student's home, father, mother and guardian if the phone numbers or email addresses are different. This process accommodates split families. Any abnormal student activity will be reported such as conduct, discipline, failing grades, assignments due, incomplete grades, etc. We've had many praises on this system, especially parents that work offshore and military families. A text to voice, over Internet, back to analog process is used for message delivery.

JTEST – Integrated Test Results and Analysis System
JTEST allows seamless integration of benchmark and other test results such as LEAP, ILEAP, EOC, ACT, SAT, PLAN, Explore, etc. for real-time teacher or administrative analysis. This is accomplished via state downloads and collaboration into the JPAMS data warehousing system and accessible to education stakeholders for various uses.
Uses of test data include matching course actual classroom production to state testing results. Also, teacher and SBLC planning for remediation.
DEWS ® - Drop Out Early Warning System
The DEWS ® system will allow management staff to develop an environmental template factor trigger set for demographics, attendance, discipline, grades, etc. This possible failure or dropout template is then used to process each student's production and rate the students on a drop out possibility grid.
The student demographics, attendance, discipline and grade production are matched to the set of trigger data developed by DOE committees to determine students that potentially enter the dropout zone. A new student dropping into the potential dropout zone will initialize a site SBLC committee referral where intervention methods and tracking personnel are assigned and results are posted.
When a student improves, the software will automatically remove the student from dropout status but will retain former status data for future reference.
DEWS ® system automatically runs without operator intervention and compiles the student results by district, then submits the results by email to the appropriate site, district and state personnel by using student demographic and Human Resources contract object/function data. RTI tracking processes can apply through the school building level committee (SBLC) system.
Email and call processes are included for the students peer cluster. A historical interdiction file is updated for new students entering the possible drop out zone and is used for inclusion of interdiction data in the court reporting system, school steering committee reviews, student and parent warning systems, etc.
Identifying potential students before they drop out, applying an intervention solution, assigning responsible personnel and tracking progress will improve scores and reduce dropout rates.
JHEALTH – Health / Nursing System
EDgear's integrated health system was designed with the assistance of RN's from school districts. Since JHEALTH is fully integrated, it is not necessary for nurses to re-input basic data such as student demographics saving nurses critical time. JHEALTH is a complete robust nursing system that never ceases in it's evolutionary growth. This module also integrates into our medicaid reporting software and LINKS.
This system is a real time reporting and collection process at point of sale. Some collection categories are nurse consults, vision, hearing, BMI, medication, immunization, scoliosis, asthma, care plans, health plans, emergency plans, dental screening, family history, home medications, diet plans, etc. DOE data uploads are included.

A text to voice, over Internet, back to analog process is used for message delivery.
JSBLC – Information Hub and Court Reports
The SBLC system is used by the school principal to manage the functions of the principals steering committee. School Building Level Committee (SBLC) module records all meetings, referrals, and interventions. SBLC provides instant information for any student referrals, interventions, parent or student conferencing, preparing for court (Court Report), OCR data, staff assignments, or trends analysis with graphing. Many of the items placed on the SBLC agenda, such as possible student failures, are generated by the management exception monitor (MEG) system.
Teacher Efficiency
Saving teacher time is a major corporate goal which incorporated a design psychology where all teacher daily functions are contained on one command center screen. The automated parent contacts alone has saved many teacher hours that can be added to instruction enhancement time. Automated calculation of grades with pupil progression rules saved much time and eliminated the manual errors. One teacher related that it relieved her biggest worry of calculating grade averages wrong and posting grades to wrong students.
Managing Instruction
Most schools, districts and states make serious efforts to standardize courses offered, time lines, teaching methods, lesson planning and GLE test tracking. This system will allow the development of standards by committee then move these to the consolidated warehouse where they will be available to all education stakeholders. If a school has 3 Algebra I teachers and each has their own lesson plan, then chances are that the school will produce 3 levels of Algebra I students. The teacher with the lowest class average may have taught certain assignments better than the two teachers with a higher class average. EDgear will give managers the ability to analyze grade production of the 3 teachers at the assignment level, select the assignments from each teacher that produced the best results and build a common course lesson plan for all teachers to use in the new year.
Student Scheduling
EDgear contains several scheduling methods such as 4x4, 2x8, capability placement, self contained, teaming, academy block, etc.
EDgear also allows a 5 year plan and adjustment process. The total 5 year plan is carried in the system at all times and is on the web for parental reviews. We view this as the preferred scheduling plan of the future where an adjustment process is part of the counselor review process. The adjustment process occurs now at the end of the first term as part of a kick off process for the second term. The review process should be the same at the end of the second term.
The results are always instantly available on the parents web. The course request process then becomes a recommendation from the school to the parent instead of from parent to the school which will have to be reviewed by the school staff resulting in double work. Parents can then make a recommended schedule change via the web
WebGB – Fully Integrated Web-Based Teacher Grade Book
The teacher's online grade book contains GLE, unit and assignment tracking with accrued grading period finals at all times available on the parent web. The teacher can send an email to the student's parent(s). Automated (without user intervention) conduct, incomplete grades, failing grades, skips, tardies, etc. Teachers can set up referrals and check results of disciplinarian actions. Student demographics, attendance, discipline, SPED codes, etc., are accessible with a single click.
The teacher's grade book is browser based with mobility in mind for accessibility from home or on the go use. The grade book is a robust and complete teacher workstation where conduct, discipline, and attendance can be posted and reviewed. Emails and calling can be fully automated for a dynamic environment that promotes parental involvement.
JPLAN – Integrated Lesson Plan System
Lesson Book fully integrates into our teacher's command center. Both teachers and administrators have access to assignment tracking for graded and non-graded assignment templates (Lesson Plans) for weekly planning and monitoring. Lesson book allows for a collaborative lesson approval process between teachers and administrators.
JFUND – School Based Book Keeping System
Centralized accounting and book keeping system for school applications.
JVOC – Vocational System
The State Based Career Clusters and Concentrations are used to calculate a possible career path completer. The system will display the course(s) taken based on the cluster chosen but it will also show which cluster(s) is/are close to completion. Counselors have the ability to compare the student's career completions versus the student's choice. The counselors may use this data to discuss a need for a career choice change.
JDA – District Attorney Web Portal Monitoring and Alert System
With proper authority and collaboration between the school district and the District Attorney's office, a web portal can be used by the local DA's office for truancy notification, automated print and letter processing. This system has been selected as the program of the year by the International Child Welfare Association and was demonstrated in Washington DC and NYC as a model.
JSUPER – Superintendent Critical Data
EDgear will provide Superintendents with data driven decisions instantly 'on the go'. Other items that have been added to the lists are MFP counts, expulsions tracking, attendance percents, teacher absentees by ten o'clock each morning and dropout interventions compared to referrals. All items will always provide current year to previous year comparisons.
JENROLL – EDgear / JPAMS State-Wide Enrollment System
JENROLL allows school staff to select any desired student from another JPAMS district for enrollment along with any selected related data previously posted such as grades, attendance, transcripts, discipline records, etc. This process is automated to relieve wait time for increased staff productivity while cutting down on data input errors. This has reduced SIS transmission errors by 50%.
JBACKUP – Local and Remote Back Up and Disaster Recovery
EDgear's automated backup software will compress and encrypt the complete data warehouse in our server complex each day. Each backup is retained for 7 days. A bi-monthly backup is stored on the first and fifteenth of each month also. A complete server loss can be rebuilt in a few hours. We have had several catastrophes as a result of school fires and hurricanes whereby partial or complete backups are necessary.
Automated Internal Site Communications Example
EDgear's software will furnish action communications through all school site and district management layers including the external parental layer. Example: A teacher recognizes a student has skipped by the fact the student is absent in class and was present in the previous class. The teacher will punch a skip code, our automated email notification system will email the Assistant Principal, call the parents on their cell, email the parents and email the Sheriff's office with a pick-up notice with picture if desired.
Customized Software Development
EDgear has over 30 years of customized software development experience for public education. EDgear has been an extension of our clients data processing department for user and LDE requirements as well as a close partner for education as a whole for Louisiana.
JCLAIM – Medicaid Reporting
EDgear contains a comprehensive posting, statistical and DHH transmission process for all medicaid and kid med consults. This system can increase revenue. When we installed Vermilion several years ago, their billing amounted to around 25k. This amount rose to around 200k with this system's implementation.
PROGRAM SCHOOLS
EDgear's unique platform allows for students to access courses at multiple sites. The software will also allow students to participate in programs that are housed at locations other than the reported site of enrollment. While students are at these program sites they can be lumped under a building site code for purposes of scheduling, grading, discipline and other common site needs. These temporary sites are integrated into our state reporting system so they will be automatically transmitted as the site of enrollment.
JSPED – SER Interface and Collaboration
JSPED is a robust and critical data warehouse component that fully guides the entire district with instant communications and compliant issue notifications. JSPED has an optional dual role for the district for communicating to the state SER system via XML based instant updating, or nightly downloads directly into the JPAMS data warehousing system from work done on SER in the prior day. Full reports and compliant features are included either way.
Customized Reporting Tools
EDgear continues to be a close partner with all our clients including being an extension of their data processing departments. Our staff develops and creates reports for our users such as the OCR reports, as requested, and distributes to all other districts. In additions, EDgear provides highly flexible and robust reporting tools for general user use via our Variable Report Tables (VRT's). District staff also has the option to use report generators such as Cognos or Crystal reports.
SIF 2.0 Compliant
We are SIF 2.0 compliant. We submitted the 'must have' elements plus most of what we would need to run our clients' other products if they were compliant, such as lunch systems. Most of our competitors submitted only the least amount of elements to pass the test harness. We didn't take that route. We submitted all elements for most of your other products in order to eliminate returning to the SIF process many times.
We paralleled the development of the SIF elements with an equal set of view elements. When another product is not SIF compliant or they don't want to absorb the SIF server expense, then they may choose to use the view elements instead. The view process is faster than the SIF process because of the additional server translation for SIF.
